This position will provide administrative and office procedural support work serving as an assistant to the Chief Medical and Clinical Officer and the Medical and Clinical Services Departments including Utilization Management, Customer Service, Care Coordination and System of Care.


Role and Responsibilities:

50% Clinical Services Support:

  • This position will be responsible for all Chief Medical and Clinical Officer matters by providing and/or coordinating a full range of support activities necessary for the effective management of medical and clinical program operations.  Examples of administrative functions may include: composing letters and memorandums, designing and producing reports which may require independent research; developing and maintaining various informational databases; making arrangements for conferences and meetings; preparation of presentations; screening and routing materials based on content; filing and maintaining departmental logs, manuals, and various other information; providing receptionist and telephone services when required; provide keyboarding and proofreading services; and, other related activities.
  • Conducts special task/research assignments assigned by the Chief Medical and Clinical Officer.


45% Data Management:

Thoroughly and accurately enter and maintain data in all applicable systems and/or databases per established practices, processes and protocols. Design reports for internal and external recipients.   It is also essential that all record keeping and data sharing be timely and well-documented to ensure that all information based upon this data supports the organizational needs for daily operations and reporting requirements. This position will function as the reporting and data information collection for the Medical and Clinical Services Department, with the ability to produce a wide range of reports.


5%:   Provides administrative support to other designated clinical purposes such as providing support for training, taking meeting minutes, etc.   Other related projects and duties as assigned.


Knowledge, Skills and Abilities:

  • Demonstrated knowledge of professional and departmental program practices/processes and technology
  • Knowledge of objectives and goals of the program and carry through with established practices
  • Intermediate proficiency in Microsoft Office products (Word, Excel, Outlook, PowerPoint, etc.) which includes the ability to design reports for internal and external recipients
  • Exceptional interpersonal skills, highly effective communication skills and organization skills
  • Problem solving, negotiation and conflict resolution skills are essential to balance the needs of both internal and external customers
  • Ability to comprehend and apply instructions and process information
  • Ability to manage and uphold integrity and confidentiality of sensitive data
  • Ability to make prompt independent decisions based upon relevant facts and established processes
  • Ability to independently organize multiple tasks and to effectively manage workload under pressure of deadlines
  • Ability to demonstrate flexibility and adaptability to change and improvement of processes
  • Ability to recognize sensitive or unusual situations that should be referred to another more appropriate staff member or to the supervisor
  • Ability to manage and uphold integrity and confidentiality of sensitive data


Education and Experience Required:

Completion of high school and three (3) years of related work experience or an equivalent combination of education and experience.   Extensive knowledge and proficiency of Microsoft Office products (Word, Excel, Outlook, PowerPoint, etc.).


Education and Experience Preferred:

Bachelor’s Degree and two (2) years of related work experience in a human services/healthcare setting which includes demonstrated proficiency with Microsoft Office products (Word, Excel, Outlook, PowerPoint, etc.) and other applicable software.
